Lead routing: get every investor inquiry to the right person in minutes

Routing rules, response standards and automation for sponsors who lose good prospects in shared inboxes.

Short answer

Lead routing is the set of rules that decides who handles each investor inquiry and how fast. Route by qualification signals (check size, timeline, accreditation, source), send qualified leads straight to a booking calendar and a named IR owner, and push everyone else into nurture. Respond to qualified inquiries within an hour; research on 1.25 million leads found firms that did so were about seven times more likely to qualify the lead.

Key takeaways

  • Leads contacted within an hour were about 7x more likely to qualify than those contacted later, and 60x more likely than those contacted after 24 hours (HBR).
  • Route on three signals: expected check size, timeline and source.
  • Every routed lead gets one owner and one dated next step.
  • Opportunity Zone funds raised $2.67B in 2025 (Novogradac). Tax-deadline-driven investors make speed even more critical.

Why does lead routing matter?

Speed to lead and qualification

Likelihood of qualifying a lead, relative to responding after 24+ hours
Source: Harvard Business Review (2011). Within-an-hour responders were ~7x more likely to qualify than later responders and 60x more than those waiting 24+ hours; the middle bar is derived from those two figures.

Investor inquiries are high-intent and low-volume. Losing one prospect who would have invested $250,000 because an email sat in a shared inbox for two days is an expensive routing failure.

How to automate routing in your CRM

  1. Add 3 to 5 qualifying fields to every form: role, check size range, timeline, how they heard about you.
  2. Create a workflow that assigns an owner based on those fields.
  3. Show the booking calendar only when a lead meets your criteria; show resources otherwise.
  4. Send an instant SMS or Slack alert to the owner for top-tier leads.
  5. Add a task with a due time; escalate if untouched after 2 hours.
  6. Report weekly on median response time by route.

Opportunity Zone investors are often driven by capital gains timing. A prospect with a recent gain may have a deadline, so routing and response speed matter even more. Ask about timing on your form, and route time-sensitive inquiries to a person immediately. Investors will also have questions about current and future OZ rules; make sure their tax advisors are part of the conversation.

Frequently asked questions

Speed to lead is the time between an inquiry and the first meaningful response. Faster responses are strongly associated with higher qualification rates in published research.

No. Route by qualification signals. Leads that meet your criteria should be offered a call right away; others should receive education and resources until their timing or capacity changes.

It is usually better to show the booking calendar after a short qualifying form, so IR time is spent on prospects who fit. Others can be routed to nurture content.

Many QOF investors are motivated by the timing of capital gains, so their decision windows can be short. Capture timing on forms, respond quickly, and coordinate with their tax advisors.
